Amateur choirs and community orchestras run on group chats. Rehearsal changes, part assignments, car shares to the venue and the eternal question of who has the spare black folder all land in one Telegram group. When concert season arrives, that group gets louder, and so do the scammers who watch it.

Here is a plan for keeping an ensemble’s chat usable from the first rehearsal of term to the final bow.

Know the season’s scams

Ensemble groups see a predictable cycle:

Each of these leans on urgency and on the fact that members trust anything that looks like it came from the committee.

Make official messages recognisable

The simplest defence is a clear signal for genuine announcements:

  1. Only the director, the secretary and the treasurer post payment requests, and always with the same wording template.
  2. Payments go to one account listed in the pinned message. Any other account mentioned in chat is a scam by definition.
  3. Score links come from the publisher, the library or the shared drive the committee set up, never from a new member.
  4. Ticket sales happen through the venue box office link in the pin.

If your group uses topics, put announcements in a topic where only admins can post. Singers and players can still chat everywhere else.

Screen new joiners

Choirs grow by word of mouth, so join requests are normal. Ask “Which voice part or instrument, and who invited you?” A real newcomer answers in seconds. An account that cannot name a voice part does not need to see the treasurer’s bank details.

Let a bot handle the noise

Volunteer committees rarely have someone watching the chat during the working day, which is when many scam waves arrive. An automated filter covers those hours.

Xiabao reads each new message, deletes ad and scam patterns, and warns or removes repeat senders, while ordinary messages about tempo markings pass straight through. Setup takes a few minutes and is explained in the Xiabao guide for choirs, orchestras and other volunteer-run groups.

After the concert

Rotate the invite link once the season ends. Links shared on posters and social media keep circulating for months, and a fresh link for the next term closes that leak.
